4.1 CUSTOMER RELATIONSHIP MANAGEMENT (CRM), ACCOUNTING AND HOSTING
We use a self-hosted customer relationship management and accounting system (“CRM System”) based on
Dolibarr ERP/CRM to manage our customer relationships and to handle our bookkeeping and invoicing processes.
The CRM System is operated by us on virtual servers provided by Google Cloud Platform (“Google Cloud”).
Which data do we store in the CRM System?
In the CRM System we create and maintain records for customers, prospects, suppliers and other business
partners (for example service providers and contractual partners). In this context we process in particular:
- Master data and contact details (for example name, company name, postal address, email address, telephone number, customer or supplier ID).
- Contract and order data (for example products and services ordered, customization details for personalized jewelry, order dates, delivery information, order history).
- Invoicing and accounting data (for example invoice numbers, invoice and payment dates, amounts, tax information, payment status, accounting records).
- Communication and ticket data (for example enquiries, support requests, complaint tickets, internal notes relating to the processing of a case, attached documents or photos).
Purposes and legal bases
We process personal information in the CRM System for the following purposes:
- to initiate, perform and manage contractual relationships with customers, suppliers and other business partners, to document orders and deliveries, and to issue and manage invoices and payments;
- to provide customer service and to handle enquiries, support requests and complaints (“tickets”), including documentation of the processing history;
- to fulfil our legal obligations under commercial and tax law with regard to bookkeeping, record keeping and documentation; and
- to manage and organise our business operations, to improve our products and services and, where necessary, to establish, exercise or defend legal claims.
The legal bases for this processing are Article 6(1)(b) GDPR (performance of a contract or steps taken at
your request prior to entering into a contract with you), Article 6(1)(c) GDPR (compliance with legal
obligations), and Article 6(1)(f) GDPR (our legitimate interest in efficient and secure management of our
customer, supplier and business relationships, proper documentation of our business activities and in the
establishment, exercise or defence of legal claims).
Hosting and server infrastructure (Google Cloud)
Our websites and our self-hosted CRM and accounting system are operated on virtual servers provided by
Google Cloud. Depending on the specific service and configuration, these servers may be located in data
centers in the United States.
In this context, Google Cloud processes personal information on our behalf, such as IP addresses and
log files as well as the customer, order, ticket and accounting data stored in our CRM System. Google
Cloud acts as a processor within the meaning of Article 28 GDPR and is contractually obliged to process
personal information only in accordance with our instructions and in compliance with applicable data
protection law.
Because the servers may be located in the United States, personal information can be transferred to and
processed in a third country outside the European Economic Area. To ensure an adequate level of data
protection, we have concluded a data processing agreement with Google and rely on the EU-U.S. Data
Privacy Framework and/or the European Commission’s Standard Contractual Clauses for international data
transfers, as offered by Google Cloud in accordance with Chapter V GDPR. In addition, we implement
technical and organisational security measures such as access controls, encryption in transit and at
rest, regular security updates and backups to protect personal information stored on the servers.
Retention periods
We retain personal information in the CRM System for as long as necessary to fulfil the purposes described
above or as required by statutory retention periods. In particular, commercial and tax law usually require
us to retain order and invoice data for up to 10 years. We delete or anonymise personal information when
it is no longer required for these purposes, unless a longer retention period is required or permitted by
law.
4.1 ADDITIONAL INFORMATION FOR ORDERS VIA AMAZON.DE
We also offer our products via the online marketplace Amazon.de. For most processing activities on the
Amazon platform itself (for example operation of the website or app, user accounts, payment processing
and Amazon’s own analytics and marketing), Amazon acts as an independent controller. For those activities,
please refer to the privacy notice provided by Amazon on its websites.
In addition, when you place an order with us on Amazon.de, Amazon transmits to us certain personal
information that is necessary for us to process your order. This typically includes your name,
billing and shipping address, information about the products you ordered (including configuration
details for personalized jewelry), and, where provided, your email address, telephone number and
messages you send to us via the Amazon messaging system.
Purposes and legal bases for processing Amazon order data
We process the personal information we receive from Amazon.de for the following purposes:
- to process and fulfil your order, including production of personalized items, shipping, handling returns and providing customer service;

No additional tracking or marketing on the Amazon platform
We do not use the personal information we receive from Amazon.de for our own independent tracking or
profiling on the Amazon platform, and we do not send you separate marketing communications based on
Amazon orders beyond what is permitted or enabled within the Amazon system. Marketing, analytics and
cookies in connection with our own website are described separately in this Privacy Notice.
Recipients and retention
We share personal information obtained from Amazon.de only where this is necessary for the purposes
described above, for example with shipping providers (to deliver your order) and, where applicable,
with tax advisors or legal counsel. Any such sharing takes place in accordance with applicable data
protection law.
We retain personal information from Amazon orders for as long as necessary to fulfil the above purposes
or as required by statutory retention periods. In particular, commercial and tax law usually require us
